Trackify (“we,” “us,” or “our”) operates the website and SaaS platform at https://trackify.org. By using Trackify, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Service. This policy applies to all users of the Trackify website and platform, including visitors, registered account holders, and the end-users whose data our customers import into the Service.

2. Information We Collect

2.1 Information You Provide Directly

  • Account Information: Name, email address, company name, job title, and other details you provide when creating an account or contacting us.
  • Billing Information: Payment details are collected and processed by our payment processor, Stripe. We do not store your full credit card number on our servers. We may retain partial card details (e.g., last four digits, expiration date) for reference purposes.
  • Support and Communications: Any information you provide when contacting us through our contact form, email, or other communication channels.

2.2 Information Collected Automatically

  • Usage Data: Information about how you interact with the Service, including pages visited, features used, session duration, clicks, and in-app actions. This data is collected through our own internal analytics for product performance and improvement purposes.
  • Device and Browser Information: IP address, browser type and version, operating system, device type, and screen resolution.
  • Log Data: Server logs that record requests made to our systems, including timestamps, URLs accessed, and referring pages.

2.3 Information from Third-Party Integrations

When you connect third-party platforms to Trackify, we collect and process data from those services as necessary to provide lead tracking, deal attribution, and ROI analytics. Trackify integrates with platforms across the following categories:
  • CRM Systems (e.g., customer records, deal pipelines, contact details, and sales activity)
  • Lead Tracking and Capture (e.g., form submissions, landing page data, call tracking records, and chat or messaging interactions)
  • Advertising and Analytics Platforms (e.g., ad campaign data, spend and impression metrics, conversion events, and audience data)
  • Communication and Notification Tools (e.g., email and call logs related to lead activity)
The types of data collected through these integrations may include:
  • Lead and contact information (names, email addresses, phone numbers)
  • Advertising campaign data and spend information
  • Deal and revenue data
  • Form submission and web activity data
  • Call and communication records
The specific data collected depends on which integrations you connect and the permissions you grant. You control which integrations are active and can disconnect them at any time through your account settings.

2.4 Customer End-User Data

As a data processor acting on behalf of our customers, we process data about our customers’ leads, prospects, and clients (“End-User Data”) that is imported into or generated within the Service. Our customers are responsible for ensuring they have the appropriate legal basis and consents to share this data with Trackify.

3. How We Use Your Information

We use the information we collect for the following purposes:
  • Providing the Service: Operating the platform, processing leads, generating attribution analytics, producing ROI dashboards and reports, and delivering notifications and alerts.
  • AI-Powered Analytics: Our proprietary AI models process your data to provide attribution modeling, lead scoring, missed lead detection, and revenue insights. All AI processing is performed using Trackify’s own models — your data is never sent to third-party AI providers.
  • Billing and Account Management: Processing payments, managing subscriptions, and communicating about your account status.
  • Service Improvement: Analyzing usage patterns and performance data to improve features, fix issues, and develop new functionality.
  • Communications: Sending transactional emails (such as account confirmations, lead notifications, weekly roll-up reports, and billing receipts) and responding to your inquiries.
  • Security and Fraud Prevention: Detecting, investigating, and preventing unauthorized access, abuse, or other harmful activity.
  • Legal Compliance: Meeting our obligations under applicable laws and regulations.

4. Cookies and Tracking Technologies

4.1 Cookies We Use

  • Essential Cookies: Required for authentication, session management, and security. These are set when you log in and are necessary for the Service to function.
  • Preference Cookies: Store your display settings and interface preferences within the application.

4.2 Future Use of Analytics Cookies

We may in the future implement third-party analytics or marketing tools on the Trackify marketing website (not within the application) for the purpose of understanding website traffic and improving our marketing and SEO efforts. If and when we do, this policy will be updated and appropriate notice will be provided.

4.3 Managing Cookies

Most browsers allow you to control cookies through their settings. Disabling essential cookies may prevent you from using certain features of the Service.

5. How We Share Your Information

We do not sell your personal information. We share data only in the following circumstances:

5.1 Service Providers

We use trusted third-party providers to help operate the Service. These providers are contractually obligated to use your data only as necessary to perform services on our behalf:

  • MailPace — Transactional email delivery (notifications, reports, alerts). MailPace’s privacy policy is available at https://mailpace.com/privacy.
  • Third-Party Integrations You Connect — When you authorize a connection between Trackify and a third-party platform, data is exchanged in accordance with that platform’s terms and privacy policy.

5.2 Legal Requirements

We may disclose your information if required to do so by law, regulation, legal process, or governmental request, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

5.3 Business Transfers

If Trackify is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change and any choices you may have regarding your data.

6. Data Storage and Security

6.1 Where Your Data Is Stored

Your data is stored on servers hosted by OVH in Canada. Encrypted backups are also maintained on-premises at Trackify’s offices in Canada for redundancy and offline processing purposes.

6.2 Security Measures

We implement commercially reasonable technical and organizational measures to protect your data, including encryption of data at rest and in transit, access controls, and regular security reviews. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6.3 Breach Notification

In the event of a data breach that poses a real risk of significant harm, we will notify affected users and relevant authorities in accordance with applicable Canadian privacy laws.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. Specifically:
  • Account Data: Retained for the duration of your account and for a reasonable period afterward to fulfill legal, accounting, or reporting obligations.
  • Usage and Log Data: Retained for up to twenty-four (24) months for performance analysis and security purposes, then deleted or anonymized.
  • Billing Records: Retained as required by applicable tax and financial reporting laws.
  • Customer End-User Data: Retained for the duration of the customer’s subscription. Upon account termination and data deletion request, End-User Data is deleted within thirty (30) days (see Section 8).

8. Your Rights and Choices

8.1 Access

You may request a summary of the personal data we hold about you (such as your account information and billing history) by contacting us. Please note that Trackify is a data aggregation and analytics platform — the majority of data within your account originates from third-party sources you have connected, and those sources remain the primary record for that data.

8.2 Correction

You may update or correct your account information at any time through your account settings, or by contacting us.

8.3 Deletion

You may request deletion of your account and associated data by contacting us. We will process deletion requests within thirty (30) days, subject to any legal obligations that require us to retain certain information. Once deleted, data cannot be recovered.

8.4 Withdrawal of Consent

Where we rely on consent as the legal basis for processing, you may withdraw consent at any time by contacting us. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal.

8.5 Disconnecting Integrations

You may disconnect any third-party integration at any time through your account settings. Once disconnected, we will no longer collect new data from that source. Previously imported data will remain in your account unless you request its deletion.

9. Your Rights Under Canadian Privacy Law (PIPEDA)

If you are located in Canada, you have rights under the Personal Information Protection and Electronic Documents Act (PIPEDA), including the right to:
  • Access your personal information held by Trackify
  • Challenge the accuracy and completeness of your data and have it corrected
  • Withdraw consent for the collection, use, or disclosure of your personal information (subject to legal or contractual restrictions)
To exercise any of these rights, contact us using the information in Section 13. We will respond within thirty (30) days. If you are unsatisfied with our response, you may file a complaint with the Office of the Privacy Commissioner of Canada at https://www.priv.gc.ca.

10. Your Rights Under U.S. State Privacy Laws

If you are located in a U.S. state with applicable privacy legislation (such as the California Consumer Privacy Act or similar laws), you may have additional rights, including:
  • The right to know what personal information we collect and how it is used
  • The right to request deletion of your personal information
  • The right to opt out of the sale of personal information — though Trackify does not sell personal information
  • The right to non-discrimination for exercising your privacy rights

11. Children’s Privacy

Trackify is a business-to-business platform and is not directed at individuals under the age of eighteen (18). We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will take steps to delete it promptly.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will revise the “Effective Date” at the top of this document and provide reasonable notice (such as via email or an in-app notification). Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
